Privacy Policy

1. Who We Are

This platform is operated by Dialogue Fiji through its IMPACT Initiative — a human rights documentation and accountability programme. Dialogue Fiji is a civil society organisation based in Suva, Fiji. We can be contacted at impact@dialoguefiji.org.

2. What Information We Collect

Mandatory: Incident date, location (district/province), type of human rights issue, and a detailed description of the incident.

Optional contact details (only if you choose not to submit anonymously): your name and a contact method (email or phone number).

Automatically collected: Your IP address and browser/device information (user-agent). This is collected solely for spam prevention and fraud detection — it is not used to identify you to third parties.

Evidence files you upload (PDFs, images, audio, video) are stored securely on our servers and associated with your submission reference.

3. How We Use Your Information

Your information is used exclusively for the following purposes:
  • Recording and documenting human rights violations in Fiji
  • Facilitating internal case review and investigation by authorised staff
  • Producing anonymised, aggregated reports for advocacy and policy purposes
  • Preventing spam and fraudulent submissions
  • Allowing you to track the status of your submission using your reference number

4. Legal Basis for Processing

We process your data on the basis of your explicit informed consent, which you provide by checking the consent box on the submission form. You may withdraw consent at any time by contacting us with your reference number. Withdrawing consent does not affect the lawfulness of processing carried out before the withdrawal.

5. Who Has Access to Your Data

Only authorised Dialogue Fiji staff with verified accounts and appropriate role-based permissions can access your submission details. Contact information (name and contact details) is encrypted using AES-256 and is additionally restricted to senior staff only. Your IP address and technical data is accessible to administrators for spam prevention purposes only. We do not sell, rent, or share your personal data with any third party, except where compelled by Fiji law.

6. Data Retention

Your submission and associated data will be retained for as long as necessary to fulfil the documentation and advocacy purposes of the IMPACT Initiative, or until you request deletion. Anonymised, aggregated data derived from submissions may be retained indefinitely for research and advocacy purposes. If you request deletion of your submission, we will remove your personal identifiers while retaining a non-identifiable record of the incident if it has already been incorporated into anonymised reports.

7. Your Rights

You have the right to:
  • Access — request a copy of the personal data we hold about your submission
  • Correction — ask us to correct inaccurate information
  • Deletion — request that we delete your personal data (subject to legal obligations)
  • Withdraw consent — withdraw your consent to processing at any time
  • Portability — receive your data in a structured, machine-readable format

8. Cookies & Tracking

This platform uses a session cookie that is strictly necessary for the form to function (CSRF protection). We do not use advertising, analytics, or tracking cookies. We do not use third-party tracking scripts. Your browsing activity on this platform is not shared with any external service.

9. International Transfers

Your data is stored and processed within Fiji on servers operated by Dialogue Fiji. We do not transfer your personal data outside of Fiji, except in cases where a complainant has explicitly requested international escalation of their case to a body such as the UN.

10. Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will update the "Last updated" date at the top. Continued use of the platform constitutes acceptance of the updated policy.
